Who we are
This website is run by Mammoth Digital, a web and software agency based in South Africa. In this policy, "we" and "us" mean Mammoth Digital.
The company responsible for your information is Think Education Group (Pty) Ltd, trading as Mammoth Digital. Mammoth Digital is the company's web and software division. Under the Protection of Personal Information Act (POPIA) we are the "responsible party" for the information described here.
What we collect
We only collect what you choose to give us, plus basic technical information that every website receives.
When you use our contact form
- Your name
- Your email address
- Your phone number, if you add it
- The service you are asking about, if you choose one
- Your message
- That you agreed to us contacting you about your enquiry
When you send the form, the website also receives your IP address and the result of a spam check (Cloudflare Turnstile, see below). We use these only to block spam and to limit how many messages can be sent from one connection.
When you email or call us
Your contact details and whatever you tell us about your enquiry or project.
When you visit the website
Like any website, our hosting provider receives technical information such as your IP address, browser type, the pages you request and the time of the request. This is used to deliver the pages and keep the site secure. We do not use it to identify you.
Why we use it
- To reply to your enquiry and talk to you about the work you have asked about.
- To prepare quotes and, if you become a client, to deliver and support the work.
- To keep the website running, secure and free of spam.
- To meet our legal and tax obligations.
We use your information because you asked us to contact you (your consent), because we need it to take steps towards a contract with you, or because we have a legitimate interest in keeping the website secure.
We will not send you marketing emails or newsletters unless you have agreed to receive them, and every such email will let you unsubscribe. We do not sell, rent or trade your personal information.
Who we share it with
We only share your information with service providers that help us run the website and the business, and only as much as they need:
- Cloudflare, Inc. hosts this website and protects it from attacks and spam. Cloudflare processes technical information (such as IP addresses) on our behalf.
- Cloudflare, Inc. also runs our contact form. Cloudflare Turnstile checks that the form is being sent by a person, not a bot, and Cloudflare Email Service delivers the message to our inbox. Turnstile looks at technical information such as your IP address and browser type. Cloudflare says it uses this only to detect and block bots, not to identify or profile you. See the Turnstile privacy addendum (opens in a new window).
- Cloudflare Email Routing receives email sent to hello@mammothdigital.co.za, including contact form messages, and forwards it to our mailbox, which is hosted by Google (Gmail).
We may also share information if the law requires it, for example with the South African Revenue Service or a court.
Information sent outside South Africa
Cloudflare and Google run data centres around the world, so your information may be processed and stored outside South Africa. We only use providers that protect personal information to a standard similar to POPIA, as section 72 of the Act requires.
How long we keep it
- Enquiries that don't lead to work: two years after our last contact, so we have a record of what we discussed if you get in touch again. We don't use them for marketing. After that, we delete them.
- Client records: for as long as we work together, and afterwards for as long as company and tax law require (generally seven years).
- Technical website logs: kept by Cloudflare for a short time, in line with its own policy.
How we protect it
The website uses HTTPS, so information you send through it is encrypted. Only the people at Mammoth Digital who need your information to reply to you or do the work can see it. We use strong passwords and two-step sign-in on the accounts that hold it. If a security breach affects your information, we will tell you and the Information Regulator as POPIA requires.
Cookies
Our website does not set its own cookies, and we do not use analytics or advertising trackers.
Cloudflare may set a small number of strictly necessary cookies to tell real visitors from harmful bots. These don't track you across other websites. See Cloudflare's cookie list (opens in a new window). The spam check on our contact page (Cloudflare Turnstile) works the same way: it is strictly necessary to block spam and only runs on that page.
If we add analytics or other cookies later, we will update this policy first and ask for your consent where the law requires it.
Your rights
Under POPIA you can:
- ask whether we hold information about you, and ask for a copy of it;
- ask us to correct information that is wrong or out of date;
- ask us to delete information we no longer need or are not allowed to keep;
- object to us using your information, for example for marketing;
- withdraw your consent at any time (this doesn't affect anything we did before you withdrew it);
- complain to the Information Regulator.
To use any of these rights, email us at hello@mammothdigital.co.za. We will reply within 30 days and may ask you to confirm your identity first. There is no charge for a simple request.
